Facilities Management - Migration

Over the past year or so, Operations and Support Services has undertaken a series of moves and reconstruction in the Colorado Building and Ashbel Smith Hall. The majority of this phase of work is now coming to an end. In June of 2004, The University of Texas System contracted with 3D/I Architects to develop space requirements and migration plan for UT System complex offices. Since that time needs and situations have changed. Operations and Support Services has revised these plans to accommodate these recent systemic changes. This study analyzed existing space with the objectives listed below.

 

3DI MIGRATION STUDY

WHY:

Unify departments.

Improve Department Adjacencies.

Develop Space Standards - rapid growth has impacted utilization and functionality. Space standards will correct disparities and enable the application of space standards based on job functions.

Improve Space Distribution/Identify Expansion Space - departmental space requirements reviewed to correct disparities between needs and use.

Maintain Conference Space and adjust scheduling control of conference rooms to better utilize the space.

Consolidate Support Space - consolidation of copy rooms, break rooms and kitchens will better utilize limited space and encourage interdepartmental communications and the breakdown of territoriality.

Maximize Space for Highest and Best Use - consideration of departmental adjacencies and public interactions.

Enhance/Develop UT System Image - processes for maintaining consistent office environments will enhance productivity and morale.

Develop Short and Long Term Solutions - implementing migration options in phases will ease implementation and minimize disruption. Phase I completed last year, Phase 2 in 2006.

As a result of this study and subsequent updates, plans were undertaken to relocate or reconfigure space in three UT System Buildings. The most difficult space decisions an institution faces are those that involve reallocating departmental space. Reallocation involves identifying under-used space and substantial evaluation. In most cases where this analysis is undertaken, space gains in the neighborhood of 25% are not uncommon.

 

WHO:

Audit Department will be consolidated on CLB 3 - DONE

Operations and Support Services will move to CLB 3 - DONE

The Office of General Counsel offices in ASH 6 remodeled for better space efficiences - DONE

4.

The Employee Services and Employee Benefits will be consolidated on CLB 2. -DONE

5.

Executive Vice Chancellor for Business Affairs' units will be relocated to ASH 8 - DONE

6.

Staff break rooms will be developed in CLB and CTJ.

Additional moves will be listed as the schedule develops. Renovation work will be scheduled to minimize disruption to all staff in affected areas. Most demolition will be done during off-hours.

 

WHAT'S NEXT?

Migration 2007 is looking at the CLB Mezzanine, CLB 5th Floor, CLB 6th Floor, and CTJ. Currently Operations and Support Services is working with the effected departments to decide what the best space utilizations are for those areas.
