What is Avatar Pro?

Avatar Pro is a web-based Learning Management System (LMS) purchased by UT System Administration.  All UT System Administration required compliance training is presented through and tracked by this new system.  Avatar Pro replaces our current compliance training tool, Adobe Connect.  In addition to compliance training, Avatar Pro is expandable to allow departments within UT System to present and track professional development training, license and certification status, and conference attendance for their staff members.  Training modules can be created within Avatar Pro or imported from another source, such as existing Power Point or video presentations.

Designed by Alchemy Systems, Inc., Avatar Pro allows employees to access the system anytime, anywhere, view required training and other, optional training opportunities, then register, attend, and document the training with ease.  Employees will also be able to upload certificates from off-site training they have attended, so all training documentation is in one place!

Training developers and instructors will have a complete set of online tools for tracking and managing all training and professional development activities, including the creation of online courses, managing training events, tracking resources, and communicating with participants.

Frequently Asked Questions

Q. What does Download Date do when I click on a class?

A. When you click on Download Date, it opens a calendar request and puts it in your iCal calendar. *Contact Kim Newton for more information about iCal.

 

Q. What is a Learning Plan?

A. A Learning Plan a feature of Avatar that UT System will not be using right away. When it is active, training will be made available.

 

Q. What is the difference between Pending Classes and Planned Classes?

A.The Pending Classes list serves two functions:

  • It is a holding tank for classes added to the shopping cart until checkout is finalized (classes show both here & in shopping cart); and
  • It is a holding tank for waitlist classes. When a user is registered to a class waitlist and a seat has become available to that user (because another user cancelled or the total seat number was increased) the user gets an email to their inbox stating "a seat has become available." User then has 24 hours from the time the email was sent to take the seat. The user goes to pending class list to accept the seat by clicking the add to cart button.

The Planned Classes list applies to learning plans.  It's the list or repository of classes a user plans to take to fill a learning plan requirement.

 

Q. Will this show the classes I have taken in the past, or only the ones I take from this time forward?

A. You will be able to see the compliance courses you have taken in the past under My Transcript. They will not, however, be listed under Completed Classes, because this reflects only the classes you have taken in Avatar.

 

Q. How can I create a record of classes I've taken outside of UT System?

A. After logging into the system, if you click on My Transcript, which is under My Learning Portfolio, you be taken to your transcript, or a record of all of the training classes you have taken. In the top right corner, just under the search field, you will see 2 tabs, My Transcript and Request Credit. Click on Request Credit. Fill out the information and scroll to the bottom. You can also upload a certificate if you received one. *Remember to click on Save as New before leaving! This will be sent to the System Administrator who will review the information and approve your request or ask you for more information.

 

Q. How can I find Upcoming Lunch & Learn Seminars?

A. You can search for Lunch & Learn seminars by clicking on Show All Classes, in the Course Catalog. Filter by Type allows you to filter by ILT (Instructor Led Training) or WBT (Web Based Training). Lunch & Learns will always be ILT's. You can also search for Lunch & Learn Seminars by clicking on Catalog Calendar in the Course Catalog and search by date. In addition, Lunch & Learn Seminars will always be listed in the Employee Services News.
