Reservations for On-Site Meetings

 

Technology and Information Services currently handles equipment requests for on-site meetings on a first-come, first served basis.  As soon as meeting arrangements are made, please have your department's meeting coordinator complete the Meeting Request Form. Please complete the technical needs field in as much detail as possible.

 

Helpful Tips for a smooth presentation

  • Arrangements should be made as far in advance as possible with a minimum of 24 hours.
  • Presenter should practice presentation on equipment prior to the meeting (adjust setup time accordingly) to allow for any incompatibilities between the computer and projector or other equipment.
  • Equipment should be powered on and ready prior to presentation.

Please be aware we are not responsible for projection screens, easels, extension cords, overhead projectors for transparencies, or podiums. Please contact Facilities if these items are needed. There is a section on the Meeting Request Form for Facilities needs. Please complete it in as much detail as possible as well.

 

Checkout and Return Procedures

  1. Send equipment request to the Support Desk via e-mail.  See list of equipment below; equipment is checked out on a first-come, first-served basis.
  2. We reserve equipment through the Meeting Room Manager (MRM) system and on the "Media Services" shared calendar which is available online.
  3. The MRM system records the checkout date, name of the person taking the equipment and the date it is to be returned. The department of the requestor assumes responsibility for equipment and should be prepared to replace lost or broken items. Laptops being checked out are for presentation, training and travel purposes when no department owned shared laptop is available. The general rule is a maximum of one week checkout.
  4. Equipment should be brought back to OTIS and checked in with a Media Services staff member. Do not drop the equipment off unattended.
