Introduction – What is the NameConnector?

 

Question:

What is the U.T. System NameConnector?
 

It is a voice activated telephone directory that makes it possible to place a phone call to someone without knowing that person’s telephone number. 

 

Question:

How does the NameConnector benefit the U.T. System?
  It makes it easier for our external and internal customers to do business with us by streamlining access to people and services.  It is particularly helpful during emergencies when you may not have access to someone’s number. 

Question:

How do I access the U.T. System NameConnector?
 

Just remember this one number (512) 499-4566.  Call this number and say the name of the person to whom you wish to speak.  


Question: 

Can I use the NameConnector to call anyone? 
 

No, you can only call the people and organizations that have had their names and numbers added to the NameConnector directory. 

 

Question:

Can I use the NameConnector to call someone’s cell phone or pager?
 

Yes, if the cell or pager number has been added to the NameConnector directory.

 

Question:

Can I use the NameConnector from anywhere?
  Yes, it can be used both inside and outside the U.T. System complex, and at any time of day.  Simply call (512) 499-4566, or extension 4566 if inside the complex.
 

 

 

Who is included in the NameConnector directory?

 

The following U.T. System Administration numbers are included in the NameConnector Directory:
  • U.T. System Administration employee office numbers. 
  • UTIMCO employee office numbers are also included because of their close affiliation with U.T. System.
  • The main phone number for each U.T. System Administration department.
  • Cell phone, pager, and in some cases home numbers, for certain System Administration personnel who may need to be reached during emergencies.

    The following numbers are included for each U.T. System component institution.
  • Each campus “main number” or “directory assistance number”
  • Each campus president and chief business officer
  •   Each campus police office number.
 

 

 

Tips for using the NameConnector directory

 

When using NameConnector, remember these conventions for calling someone:

To Call: When prompted, say:
A person's office phone "person's name"
Example: John Smith
A person's cell phone

"(person's name) cell phone"
Example: John Smith Cell Phone

A person's home phone "(person's name) home phone"
Example: John Smith Home Phone


To call a U.T. System Administration department say the department name or use its initials – but do not use the prefix “Office of”.

To call the Office of Technology and Information Services say:
“Information Resources”  or "Techology and Information Services"
“O” “I” “R” or "O" "
T" "I" "S"

Do not say: “Office of Technology and Information Services”

To call the “main” number or “directory assistance” number at the U.T. component institutions, do the following:

For information at UT Arlington say:
    "University of Texas at Arlington Information" or 
    "UT Arlington"
For information at UT Austin say:
    "University of Texas at Austin Information" or
    "UT Austin"
For information at UT Brownsville say:

How do I correct mistakes I might find in the directory?

 

If you encounter any problems with the NameConnector, please report the problem to the Support Desk.   There are a number of possibilities that may account for being unable to reach someone through the NameConnector, including the following:
  • The name may not be in the directory.  See Who is included in the NameConnector directory to make sure the party you are calling belongs to one of the groups included in the directory. 
  • The name may be in the directory, but under a different form.  For instance some people may go by their middle name.  Perhaps you are using the first name.  Note however that a single person can have multiple nicknames or aliases associated with the same number.  For example:  William Doe, Ph.D. might be reached by all the following:  Mr. Doe, William Doe, Bill Doe, or Dr. Doe
  • The name may be mispronounced in the directory.  When directory entries are created, the correct pronunciation has to be input.  If the name is mispronounced in the directory, it may be difficult to get a “voice match” when you say the name. 
  • You may be mispronouncing the name.  Again, this would make it difficult to obtain a “voice match.”  Try alternative pronunciations.
  • There may be background noises causing interference.  The NameConnector attempts to interpret what it “hears.”  If it hears background noises, it will try to use this extraneous noise when attempting to determine the name.

What is the procedure to add names/numbers to the directory?

 

There are several factors that impact the decision and process to add names and numbers to the U.T. System NameConnector.  Among the factors to be considered are:
  • Is it business related?  Only business related numbers will be added

How will inclusion of the name (or group of names) impact capacity of the directory?  We are limited to 1500 name/number combinations and upon initial use are using 900 of these.  Additional costs are incurred if we exceed our 1500 limit.

  • Long distance implications. 
Adding New Employee Names:  In the employment process, new employees are reported to the Support Desk in order to establish phone and computer services.  Upon learning of a new employee, TIS staff will add the employee to the NameConnector.   The hiring department will be contacted to verify “nicknames” and pronunciations.  Names will be removed from NameConnector when an employee leaves employment and computer access is terminated.  
Adding Employee Cell, Pager, or Home Numbers:  As a general rule, cell, pager, and home numbers are added to the NameConnector directory only for those employees who are highly mobile or for employees likely to be needed to respond to emergency situations outside normal work hours.  Addition of these numbers requires the written permission of the employee, the employee’s department head, and the appropriate Vice Chancellor or Executive Vice Chancellor.  This process is initiated by a call to the Support Desk.
Adding non-employee numbers or groups:  There may be business justification to include groups of names/numbers in NameConnector for people not directly affiliated with U.T. System Administration.  Since the directory is a limited resource and there may be long distance implications, additions of non-System Administration names or groups requires a written justification and approval of the appropriate Vice Chancellor or Executive Vice Chancellor.  This process is initiated by a call to the Support Desk.
