Prompt Payment Act

OSS-Accounting & Purchasing Services is working to increase the awareness of the requirement to document the date that an invoice is received.  If you are involved with receiving or handling vendor invoices in your department please be aware that you are required to document on each invoice the date that it was received in your department.

Why?  UT System Administration must comply with the Prompt Payment Act; to ensure compliance, the accounting system requires that OSS-Accounting & Purchasing Services enter the date an invoice was received in your department before a payment can be generated.  The system uses this date to determine if interest is due to the vendor and if so, it calculates and pays the appropriate amount.  If the date is not documented, risks include delay of payment, payment of interest, and non-compliance with state law.  Date stamps are ideal; however, if you do not have a date stamp you could write “Invoice received in [name of dept] on [date]”.  For invoices received via e-mail, the date the e-mail was received in an inbox is the date of receipt.  If you have questions please contact a member of the OSS-Accounting & Purchasing Services team.

Facts & Trends 2008
Facts & Trends is designed as a basic reference document with admissions, financial aid, enrollment, persistence, graduation and outcomes, degree, semester credit hour, faculty and staff, research, and financial information for the nine academic and six health-related institutions and The University of Texas System as a whole. This document is intended to provide accurate and consistent information for internal use and for the general public and as a statistical supplement to the UT System Accountability and Performance Report. For the most part, data are reported for the most recent six years to identify trends over time.
